Job Description: We are looking for a Documentation and Operations Coordinator to join our growing team. Reporting to the department’s manager, the chosen candidate will be responsible for:
- Organise and monitor import and export bookings
- Raise the necessary export/import documentation, following bookings, through to the
completion of a voyage, including the sending of pre-alerts and follow-up as required.
- Assist in preparing, verifying, and filing shipping documents.
- Raise invoices and/or credit notes subject to the necessary authorisations.
- Identifying operational issues, potential problems, and opportunities for improvement
- Monitor shipment progress to ensure on-time delivery and handle any operational issues that arise.
- Communicate with customers, addressing any inquiries or concerns related to shipments.
- Analyse operational data to identify areas for improvement in efficiency and cost-effectiveness.
- Assisting in acquiring new customers and developing existing customer relationships
- Collaborate with all other departments to ensure seamless document flow for all shipments
- Provide administrative support to other sections of the group, always related to transport and logistics
Requirements:
- Strong attention to detail, and proactive skills
- Must be able to follow processes, make quick decisions, and be a problem-solver
- Must be able to work responsible independently and in a team.
- Eagerness to learn and develop in the logistics and freight forwarding industry
Education and Experience
- Proven experience in a similar role / field will be considered an asset
- Any certification related to the industry or role is considered an asset
- Fluency in both written and spoken English and Maltese
- Have sound knowledge of Microsoft Office applications
